Terms of service


1. Booking & Payment

All rentals must be booked online in advance through our website.
Full payment is required at the time of booking.
All prices are in Canadian Dollars (CAD) and include applicable taxes and fees.
We accept all major credit cards and digital payments.
A pre-authorization hold of $250 per bike may be placed on your credit card before delivery. This hold is released upon safe return of all equipment, subject to inspection.


2. What’s Included With Each Rental

  • Each full-day rental includes:
  • Premium Step-Thru Mid-Drive eBike
  • Helmet with MIPS safety technology
  • Waterproof pannier bag
  • Phone mount for navigation
  • QR-coded “Tour du Quadra” route map
  • Branded water bottle and local protein bar
  • Free delivery and pickup anywhere in Southern Quadra Island
  • On-call SMS support from Tom throughout the day

3. Rental Duration

All rentals are for full-day use only.
Bikes are delivered in the morning and picked up before sunset or your scheduled ferry departure.
Early deliveries (from 6:00 a.m.) are available by request.
Late returns may be subject to additional charges.


4. Delivery & Coordination

Delivery and pickup are included at no extra cost for all addresses in Southern Quadra Island.
You’ll receive a confirmation email at booking and a follow-up 48 hours before your rental to confirm your preferred drop-off location (e.g., ferry terminal, Airbnb, B&B, resort).
Bikes will be clean, fully charged, and ready to ride.


5. Cancellations & Refunds

  • Cancel more than 24 hours before your rental start time: Full refund.
  • Cancel within 24 hours of your rental start time: No refund.
  • No-shows, late arrivals, early returns, or inability to ride due to height/weight restrictions: No refund.
  • Weather Exceptions: Refunds may be issued for extreme weather (e.g., snow, ice, or unsafe conditions) at Tom’s discretion. Light rain does not qualify.

6. Rider Eligibility & Safety

  • Minimum rider age is 16 years
  • Minimum height: 5’2” (157 cm)
  • Maximum weight: 290 lbs (132 kg)
  • Helmets are mandatory and provided
  • A signed digital waiver is required before your rental
  • Riders must not be under the influence of alcohol or drugs
  • Riders must be physically capable of safely operating an electric bicycle

7. Equipment Care & Responsibility

Riders are responsible for the eBike and all accessories during the rental period.
Any damage caused by misuse, neglect, or loss may result in additional charges, including full replacement value if necessary.
Normal wear and tear is expected and not charged.
Please treat the equipment as if it were your own.
Riding into the ocean, across deep water, or on rugged trails is not permitted.


8. Assumption of Risk & Liability

By booking a rental, you acknowledge that cycling involves inherent risk.
Tom’s eBike Rentals is not liable for any injury, accident, or property damage that occurs during use.
Riders assume full responsibility for their own safety.
Commercial liability insurance is provided through a third-party insurer.
We strongly recommend all riders carry personal travel insurance covering medical incidents and activity-based participation.


9. Emergency Protocol

In the event of an accident or medical emergency, call 911 first.
Then contact Tom at 250-217-6798 for assistance.
Tom may be able to resolve mechanical issues by phone or arrange an on-site fix.
Riders must not attempt unauthorized repairs or tamper with any parts.


10. Privacy

We respect your privacy.
Personal information is used only for booking, delivery coordination, and rider support.
We do not sell or share your data, ever.


11. Updates to These Terms

Tom’s eBike Rentals reserves the right to update these Terms & Conditions.
The most current version will always be posted on our website.
Continued use of our service constitutes acceptance of the current terms.
